Ola AI ("Ola AI," "we," "us," or "our") provides an AI-powered voice agent for real estate professionals. This Privacy Policy explains what information we collect when you use our website, dashboard, and voice agent service, how we use it, and the choices you have. By using Ola AI you agree to this policy.

1. Information we collect

Information you provide

  • Account details such as your name, work email, brokerage, and phone number.
  • Demo requests, support messages, and other communications you send us.
  • Listings, scripts, FAQs, and CRM data you connect or upload to train the agent.
  • Billing information processed by our payment provider (we do not store full card numbers).

Information from calls

  • Audio recordings, transcripts, and metadata (duration, caller ID, time) of inbound and outbound calls handled by the agent.
  • Lead details captured during the conversation (name, contact info, property of interest, budget, timeline).

Information collected automatically

  • Device, browser, IP address, and usage data from the website and dashboard.
  • Cookies and similar technologies for authentication, preferences, and analytics.

2. How we use information

  • Operate, maintain, and improve the voice agent and dashboard.
  • Qualify leads, book showings, and sync activity to your CRM.
  • Provide customer support and respond to your requests.
  • Send service updates, billing notices, and—where permitted—marketing.
  • Detect, investigate, and prevent fraud, abuse, and security incidents.
  • Comply with legal obligations and enforce our terms.

3. Call recording and consent

Many jurisdictions require that callers be notified—or that all parties consent—when calls are recorded. You are responsible for configuring the agent's opening disclosure to comply with the laws that apply to you and your callers. By default, Ola AI plays a recording-and-AI disclosure at the start of each call.

4. How we share information

  • With your team: teammates and integrations you authorize on your account.
  • Service providers: telephony, hosting, speech, AI model, analytics, and payment vendors that process data on our behalf under written agreements.
  • Legal and safety: when required by law or to protect rights, property, or safety.
  • Business transfers: in connection with a merger, acquisition, or sale of assets, with notice where required.

We do not sell personal information.

5. Data retention

We retain account data for as long as your account is active and for a reasonable period afterward to meet legal, accounting, or reporting obligations. Call recordings and transcripts are retained for the period configured in your workspace settings (default 12 months) and then deleted or anonymized.

6. Your rights

Depending on your location you may have the right to access, correct, delete, export, or restrict the processing of your personal information, and to withdraw consent. To exercise these rights, email info@creomind.ai.

7. International transfers

Ola AI is operated from the United States. If you access the service from outside the U.S., your information may be transferred to and processed in countries with different data-protection laws. We use appropriate safeguards (such as standard contractual clauses) where required.

8. Security

We use administrative, technical, and physical safeguards designed to protect personal information. See our Security page for details. No system is 100% secure, so we cannot guarantee absolute security.

9. Children

Ola AI is not directed to children under 16, and we do not knowingly collect their personal information.

10. Changes to this policy

We may update this policy from time to time. Material changes will be announced in the dashboard or by email. Continued use after the effective date constitutes acceptance.
